Client retention is not about sending a generic “your deal is ending” email six months before expiry and hoping people remember you. It is about becoming the person clients trust to make sense of their money when life changes.

The tools matter: a properly used CRM, automated review reminders and useful content that answers real questions before clients ask them. But technology should create capacity for human contact, not replace it.

What works best for us is staying close to the client’s real life. A remortgage is rarely just a rate conversation. It can sit alongside a new baby, a move, a promotion, a divorce, a parent needing care or a change in confidence around money. When you understand the wider picture, advice becomes more valuable and the relationship harder to replace.

Clients do not stay because you called at the right time. They stay because every interaction leaves them clearer, calmer and better prepared. Be useful between transactions, not simply good during them, too.

Client retention rarely comes down to one magic tool. It is the compound effect of good culture, a strong service package and benefits that clients actually value. Brokers who stay visible, proactive and useful between transactions are the ones clients remember when renewal or remortgage time comes around. Regular check-ins, clear review dates, simple digital journeys and timely market updates all help, but the human element still matters most. Clients want to feel someone is watching the shop on their behalf. The best retention strategy is doing the basics brilliantly: explain clearly, respond quickly, flag risks early and make every client feel like more than a file reference.

Pitching the service as lifetime partnership from the get-go has helped us improve our retention rate in recent years. We have also introduced a mailing list which clients can opt into, it’s helpful to appear in their inbox every few months or so. It’s very important to adopt a different strategy for those we arrange long term fixed rates for, think about it, you can probably remember where you were for new-years-eve in 2024, but can you remember where you were in 2022?
